Q. What is the registration process?
All supervisors are required to register with CamCORS at least once a year at https://apps.casc.cam.ac.uk/supervisor-application. This is necessary to ensure that the Colleges comply with employment law and data protection legislation, amongst other things. Registration expires in July for supervisors who are students or are external to the University. For all other supervisors, registration expires on the anniversary of registration.
If a supervisor’s employment circumstances change, they are advised to re-register.
If a supervisor’s registration expires, they continue to have limited access to CamCORS if they have an active Cambridge sign in (Raven). They will not be able to create new claims but will be able to view historic reports and payment information.
The registration application shows information about supervising and asks a series of questions relating to the supervisor’s employment status.
Most applications will be automatically approved, and the supervisor will be allowed to claim direct payment. After registration the supervisor will need to ensure they have entered their IBAN on the Personal Details page to use the Direct Payment option.
If the application needs to be approved by a College, then the College will assign payment options.
Q. Why do I have to register every year?
The introduction of an annual registration meets a number of separate needs:

Data accuracy – a number of statistical analyses are made on the data in CamCORS on a regular basis, and over time it has been observed that not all supervisors were keeping their personal data up-to-date. Of the 5,500+ supervisors, many of them change their employment status and/or College affiliation quite regularly – and asking for this to be reviewed annually was felt necessary to ensure any reporting or other processing of such personal data is accurate.

Tax and employment law – a small number of the questions are designed to perform a “right to work” check on supervisors for each (annual) term of engagement. This is a legal requirement, and the checks we include at re-registration are designed so that each College has the necessary information to fulfil these. We also encourage supervisors to check regularly that their payment details are correct.

Charity law – additional requirements have been introduced by the Charity Commission, including regular awareness-raising of supervisors’ responsibilities for safeguarding and other matters. These are captured in the “expectations” documents and the questions about relevant teaching experience, where Colleges need assurance that these have been received by all supervisors at least annually.
Q. Why do I have to enter an IBAN instead of my sort code and account number?
Every bank account must have an IBAN and entering the IBAN allows it to be verified and reduces errors.
