Data Audit Templates

These documents were issued by the Office of Intercollegiate Services to Senior Bursars by email on 6 March 2017.  It includes a number of templates that may be useful in conducting a personal data audit, and allows for a range of approaches.

The four documents (accessed via the links on the left)  include:

  • A list of different categories of “data subjects” – i.e. people of which the College is likely to hold personal data;
  • A systems-based approach to capturing your personal data, based on which IT and manual filing systems a College holds;
  • A process-based approach to capturing your personal data (two separate sheets, one on collection and management, and the other on sharing with other bodies).

Colleges are strongly advised to spend time undertaking these audits (using one or both approaches) to ensure it can be clear and transparent about its personal data management under GDPR.

Other audit templates may be available: many legal firms and GDPR trainers will recommend or provide alternative templates.
